GRAPEVIEW COMMUNITY ASSOCIATION
BOARD MEETING MINUTES   -  Draft

 February 5, 2008

President Linda Fish called the Board meeting to order at the Horton Community Center at 7:00 PM.  Attendees:  Pres. Linda Fish; VP Teresa Stone; Lori Stark, Treasurer; Stephanie Paulson, Secretary; Lowell Mahugh, Trustee; Standing Committee Chairs:  Paula Cimmery, Kim Cimmery and Lynne Lenhart.

The minutes of the Dec. 4, 2007, meeting were approve. The minutes of the Annual Meeting Jan. 11, 2008 were approved.

 TREASURER’S REPORT: accepted

Lori Stark reported that $1505 has been donated to the Memorial Fund for Ed Okonek. Louise has requested that chairs be purchased for the Community Hall. Lori has written a check for $1,452.65 for chairs.

Trustees:  Lowell Mahugh reported that he and Cliff Cotey did a walk-through of the building with the Chief Patti Graeber and the three Fire Commissioners and identified some action items to conclude the building project. Handicapped parking places have been identified, electrical circuits in the kitchen have been evaluated, and some outside lighting issues, all were corrected. Lowell and Cliff drafted a statement of completion of the project, which was reviewed by Dan Goodell, attorney. The agreement will be on the agenda on the next Fire Commissioners meeting on Feb. 19.   

            Lowell reported that he would be willing to continue in the position of trustee, completing the 2007-2008 term of Don Cain. He pointed out that according to the by-laws a trustee should have been elected at the General Meeting in November to complete the vacated term.

+ + +Teresa Stone moved that Lowell be appointed by the president to continue as trustee, finishing the term for 2008 and that Linda Fish contact Gary Longmire to explain the situation. Seconded and passed.

COMMINTTEE REPORTS:

Membership: Paula Cimmery reported one new member: Karol Mehan. Membership Directories were mailed Feb. 1, 2008.  Total members are 305, representing 167 families.

Historian: Lynne Lenhart reported that she has posted pictures from Snacks with Santa.

Newsletter: Kim Cimmery announced the deadline for items for the newsletter is Feb. 20th.

Events: Louise reported that she purchased 3 new roasters. 

·         The Irish Stew Dinner will be held March 14. Jean Bonzer is the chairman. The board agreed to hire the Irish musicians again this year.

·         Crab Feed tickets will be printed in February. April 26, 2008 is the date. The next planning meeting is Wednesday, March 5.

·         Grapeview Water Festival: The first planning meeting will be Tuesday, Feb. 12.

·         Life Line Screening: Louise will find out if they would want to use the Community Hall for health screening, possibly in June.

 UNFINISHED BUSINESS:

1.      Insurance Coverage: Teresa will review the insurance policies for event coverage and building use coverage by the GCA and other community groups.

2.      Time Capsule: Louise Okonek reported that she assembled a time capsule, which was placed above one of the lights near the public entrance.

3.      File Cabinet: Linda suggested that the GCA maintain a locked file cabinet in the supply closet to secure the records of the Association. Lowell Mahugh offered to donate a 2-drawer file cabinet and locking system.

4.      Official Documents: The Articles of Incorporation are in the records of Treasurer Lori Stark. GCA is on file with the WA Secretary of State as a no-profit corporation. The status is renewed annually for a $10 fee.

 NEW BUSINESS

1.      Bylaws committee: Stephanie Paulson will review the GCA Bylaws. Assistance is welcome.

2.      Long Range Planning: Linda will seek people to set plans for GCA.

3.      History: Kim Cimmery reported that Curt Fugere mentioned a copy of a Shelton-Mason County Journal article published many years ago that made reference to some history related to the Grapeview fire hall and its use for community group meetings. Kim will research the article because of its historical significance to Grapeview and will provide Lynne Lenhart with the information. She intends to compile a more thorough history of the area and also would like information on the building of the Treasure Island Bridge .

4.      Storage Unit Gate: the Gate Code has been changed.

The next Board meeting will be moved from the April date to March 26, due to schedule conflicts.

The Board will now meet on the 1st Wednesday of even numbered months, starting June 4.
